Invite people to your Todoist team

Before jumping in, check if you're an admin of the team. Then, learn how to invite people to your Todoist team:

Invite people by email

  1. Log in to your Todoist account on https://todoist.com.
  2. Click your avatar in the top-left.
  3. Select Settings.
  4. Find the team you want to add users to in the sidebar. Click Members under the team name.
  5. Click Invite by email.
  6. Enter the email addresses of the users you’d like to invite and click Send invites.

Invite people with an invite link

  1. Log in to your Todoist account on https://todoist.com.
  2. Click your avatar in the top-left.
  3. Select Settings.
  4. Find the team you want to add users to in the sidebar. Click Members under the team name.
  5. Make sure Enable invite link is toggled on.
  6. Click Copy link.
  7. You can then send the URL to whomever you want to invite. After they click the link, they’ll have the ability to join your Todoist Business account.

Remove people from your Todoist team

Make sure you only keep the right people in your Todoist team. First, check if you're an admin. Then, learn how to remove people from the team:

  1. Log in to your Todoist account on https://todoist.com.
  2. Click your avatar in the top-left.
  3. Select Settings.
  4. Find the team you want to remove people from in the sidebar. Click Members under the team name.
  5. Find the person you want to remove and click their current role to the right of their name.
  6. Select Remove from team.

What happens when you remove someone?

If you decide to remove someone from your Todoist team, or if you want to replace an existing team member with someone else, none of the remaining time on their subscription will go to waste.

The remaining time will be credited back to your Business team so it can be used to pay for future invoices. Here’s how it works:

When removing a person from your Todoist team, our system will automatically check if there is any remaining time left on their subscription and will convert the value to an account balance for your Todoist team.

This balance will then be used to partially or completely cover your next invoice.

If you want to replace a team member with someone new, remove them from your Todoist team and invite the new person to your team.

FAQ

No. Todoist Business is not a seat-based system. Todoist accounts are not designed to be interchanged between users as they most often contain both personal as well as work-related tasks. The new user can instead be added to your team with their personal Todoist account. 

When removing a user from the Business team, the admin has the option to choose whether to remove the user from all projects shared or allow the user to continue sharing projects. Tasks added by the user will not be impacted by the removal of their creator. If the admin chooses to remove the user from all shared projects, all tasks that were assigned to them will now be unassigned.

When a user is removed, their remaining Business time will be converted to credit right away.

You'll receive an invoice about the change within one month of the removal.
